Mind your spreadsheet manners

Modern-day etiquette rules have ditched the tiny soup spoons and gone with things like ghosting guidelines instead (it’s only okay after one date, apparently). But the Raise editors haven’t heard enough about the workplace etiquette that really matters—spreadsheet formatting.

Sharing a poorly formatted spreadsheet is akin to welcoming your boss to tour your messiest storage closet. The good news: It’s not that hard to format neatly, and it makes a big impact.

Here are three simple ways to Marie Kondo your workbooks:

Keep your formatting consistent. Like making your bed or steaming your shirts, a little formatting etiquette goes a long way. The three easiest changes with the largest impact to your spreadsheet visuals are the fonts, colors, and row sizes.

  • Font: You just need one, and don’t get cute with it. Uniformity is as easy as pressing Ctrl + A, and then choosing your desired font in the toolbar.
  • Colors: Font and cell fill colors are useful for labeling and formatting, but don’t go crazy. Choose a muted color palette and stick to it across all sheets.
  • Rows: Our hot take is that consistent row sizing has the biggest impact on the tidiness of a sheet. Don’t change the length of your rows. If you need more vertical space, merge cells together.

Label, label, label. When you share a spreadsheet, assume the person viewing it has no idea what you were thinking when you made it—because they don’t. Label everything clearly so it’s easy for anyone to understand, including Future You.

  • Make note of when numbers are hard-coded and when they’re based on an equation. We prefer to use blue text for hard-coded numbers and black text for equations, but any indication works.
  • When you’re making an assumption, define that somewhere in the document. This can be a comment, a note, or a separate tab that outlines all assumptions.

Create an intro tab. This is only needed for spreadsheets with lots of tabs, but it can make or break your workbook. Think of it as a table of contents. Offer any context needed and define and link out to each tab.

Good spreadsheets can help you get your sheet together at work, and making them is as easy as chewing with your mouth closed.—KL

But sometimes you’ve got to join forces to get stuff done. We’ve all been put on a work project and had to get along with someone way different than us—like Kyle, who keeps making obscure Doctor Who references. The next time this happens, here are a few tips to make the most of the situation.

  • Understand the bigger picture: What’s the goal of this project, and what do you personally want to get out of it? Being super clear from the get-go about where you’re both headed means that when things start getting off track, you’ve got a map for how to find the trail again.
  • Talk about talking: Do you prefer Slacking throughout the day, or would you rather get in a room and talk things out all at once? Be transparent about how you best communicate at work, and then figure out what the middle ground between you two would be.
  • Play to your strengths: Since you’re working with someone who’s pretty different, chances are they’re much better than you are at some things and way worse at others. Figure out these unique combos early on and then use them to create the pasta sauce of your dreams.

And above all else, assume good intent—that al dente coworker might turn out to be softer than you think.
