Google Workspace security best practices

Just about everyone I talk to has challenges managing access to their documents in Google Workspace.

Since our pivot to Nira, we’ve been working on solving this problem. At this point, we’ve probably got more expertise on how to manage access in Google Workspace than most people that work at Google.

A few gaps that most folks aren’t aware of:
  • Labels can only be added to documents, not folders and not shared drives either.
  • Be careful who you add as a Manager on shared drives. They can remove you from the drive and take ownership, even if they are from another company and didn’t originally create the drive.
  • Target audiences allow you to create groups of people that you can recommend your users share with.
We’re constantly being asked about how to manage shared drives, folders and new features like labels. So we wanted one place to point people to as a reference.
